{"id":435,"date":"2015-01-17T17:42:31","date_gmt":"2015-01-17T17:42:31","guid":{"rendered":"https:\/\/www.avacon.org\/handbook\/?page_id=435"},"modified":"2020-04-29T20:12:39","modified_gmt":"2020-04-29T20:12:39","slug":"clerk-duties","status":"publish","type":"page","link":"https:\/\/www.avacon.org\/handbook\/chapter-15\/clerk-duties\/","title":{"rendered":"Clerk Duties"},"content":{"rendered":"<h1>Clerk Duties<\/h1>\n<p>The position of Clerk plays\u00a0a critical role in the AvaCon Executive Board, as it has both legal and statutory responsibilities that must be fulfilled in order for the corporation to remain in compliance with federal and state law, as well as in compliance with the <a href=\"http:\/\/avacon.org\/docs\/avaconinc_4_bylaws_rev1-11.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">AvaCon Bylaws<\/a>.<\/p>\n<p>From the AvaCon Bylaws, Section 4.02:<\/p>\n<p><em>The clerk shall keep minutes of the meetings of the Membership and of the\u00a0Executive Board and maintain the records of the Corporation, other than financial\u00a0records, but including the membership roster and attendance records. The clerk\u00a0shall inform the members of corporate activities, including the membership roster\u00a0and attendance records. The clerk shall inform the members of corporate activities,\u00a0including publishing on the corporate website and all other notices not otherwise\u00a0assigned. The clerk shall be responsible for all necessary fillings with the office of the\u00a0State Secretary. The clerk shall affix and authenticate the Seal of the Corporation as\u00a0directed by the Membership or by the Executive Board. The clerk shall chair\u00a0meetings in absence of the president, vice president, and the treasurer.<\/em><\/p>\n<p>This page contains more information about how to perform the duties of the Clerk.<\/p>\n<h2>Record Board Meeting Minutes<\/h2>\n<p>1. Navigate to the AvaCon Inc &gt; Board Meetings folder in Google Drive.<\/p>\n<p>2. \u00a0Locate the most recent previous Board Meeting Minutes, and right click on the file to &#8220;Make a Copy&#8221;<\/p>\n<p>3. \u00a0Double click to open the newly created copy, and rename the document to the current date. \u00a0Also change the date and attendance in the text as needed.<\/p>\n<p>4. \u00a0Take notes throughout the meeting with the appropriate headings and subjects.<\/p>\n<h2>Post Board Meeting Minutes to Website<\/h2>\n<p>1. \u00a0Navigate to the AvaCon Inc &gt; Board Meetings folder in Google Drive,\u00a0locate the most recent Board Meeting Minutes, and double click to open the\u00a0document.<\/p>\n<p>2. \u00a0Navigate to the public AvaCon website and log in as an administrator at http:\/\/avacon.org\/blog\/wp-admin<\/p>\n<p>3. \u00a0In the WP Dashboard, navigate to Pages &gt; All Pages, and find the Documents &gt; [YEAR] Meeting Minutes page, then select Edit to edit the page.<\/p>\n<p>4. \u00a0 Copy and paste the meeting minutes from the Google document to the TOP of the website page. \u00a0Make any necessary edits or formatting changes, and click the Publish button.<\/p>\n<p>5. \u00a0On the AvaCon Executive Trello Board, navigate to the Ongoing column and open the Update Board Meeting Minutes card. \u00a0Check the week for which meeting minutes were posted, and change the Due Date for the next week&#8217;s meeting minutes.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Clerk Duties The position of Clerk plays\u00a0a critical role in the AvaCon Executive Board, as it has both legal and statutory responsibilities that must be fulfilled in order for the corporation to remain in compliance with federal and state law, as well as in compliance with the AvaCon Bylaws.
